RFP No. 2023-DAM-01 CRD Digital Asset Management Project

Overview
The CRD is seeking proposals from qualified vendors to provide a comprehensive Digital Asset
Management (DAM) solution for our organization. The purpose of this RFP is to identify a vendor who can
meet our requirements and deliver a robust DAM system that will effectively manage our digital assets.
The successful vendor shall be responsible for key project deliverables outlined in Appendix A to support
a successful implementation that results in a new Digital Asset Management system hosted in a cloud
environment.

CRD Background
The CRD faces challenges in managing their growing volume of digital assets, such as images, videos,
documents, and other multimedia files. These assets are scattered across various storage locations,
leading to inefficiencies, duplication, version control issues, and difficulty in locating and reusing assets.
This results in wasted time, decreased productivity, and potential loss of brand consistency. The CRD
currently does not use a Digital Asset Management system, all asset management is done manually by
staff.

Governance
Oversight of the CRD digital assets is the shared responsibility of Corporate Communications and
Information Technology & GIS (IT) teams. While oversight of the CRD digital assets is shared, each
division is responsible for management of the following:

• Corporate Communications: brand and design, and content strategy and standards.
• IT: application development, systems integration and interfaces, database support, network and
data security, software selection and implementation.A Project Advisory Group, with support from Corporate Communications and IT, provides oversight for
this project and makes recommendations to the Executive Leadership Team for ongoing policies and
strategies related to the digital asset management project and communications.
