PURPOSE:
Through the award of this Request for Proposal, the City of Moncton is seeking to engage the services of a highly experienced, professional event production firm to supply all audio, video, lighting, power, décor, and stage production equipment, as well as all technical services required for various types of public events hosted by the City of Moncton at indoor and outdoor venues.
Event production services required for any concerts, festivals and community events taking place at the Moncton Coliseum, Magnetic Hill Concert Site, Université de Moncton Stadium, and the Avenir Centre are EXCLUDED from the scope of this agreement.
ELIGIBILITY OF PROPONENTS:
Proposals shall be considered from established firms who have been in the business of providing professional audio, video, lighting and stage production services using commercial-grade equipment for a minimum of five (5) years, are financially stable, can provide a minimum of three (3) clients for whom they have provided similar services to that specified in the RFP within the last five (5) year period, and have sufficient labour, equipment and resources to provide reliable, timely, and professional services to the City of Moncton in the manner and capacity required.
Proponents must possess professional-grade audio, video, lighting, power distribution, and stage equipment manufactured by reputable and industry-recognized manufacturers such as Meyer, EAW, JBL, Shure, Yamaha, Rosco, Electrovoice, and ETC, to name but a few. Custom-fabricated and / or custom-assembled equipment is NOT acceptable.
PROPOSED CONTRACT TERM:
The initial term of this agreement shall be for a one (1) year period, commencing from the date of award. The City may exercise an option to renew the agreement for up to four (4) additional one (1) year periods, if it is in the City's best interest to do so. Firm pricing shall be provided in the Proponent's RFP submission for Year One (1) of the agreement, and a maximum percent price increase shown for all "optional" contract periods (Year Two (2), Year Three (3), Year Four (4), and Year Five (5)).
ESTIMATED CONTRACT VALUE / HOURS OF WORK:
The estimated value of this agreement is approximately $140,000.00 per year (based on an average of the total dollars paid annually (including H.S.T. @ 15%) for audio, video, lighting and stage production services during the 2018, 2019 and 2022 calendar years (no public events were held during 2020 and 2021 due to Covid-19 pandemic restrictions). However, this should NOT be construed as representing a guaranteed annual contract value.
