    Issue Date of RFSQ   Thursday, November 20, 2025          Intent to Respond (Appendix E)   Monday, January 19, 2026        Deadline for Questions   Friday, January 9, 2026 by 4:00 PM ET       Deadline for Issuing Addenda   Wednesday, January 14, 2026       Submission Deadline   Wednesday, January 21, 2026 before 3:00 PM ET   This Request for Proposal (“RFP) is an invitation by Queen’s University at Kingston to prospective proponents to submit non-binding proposals for the provision of VOR for Charter Passenger Coach Services.Any participating suppliers will possess and maintain all required license(s) and registration(s) for the company, drivers and all other employees as required to operate in all jurisdictions that travel may be required to. This will include but not be limited to:(a) A valid Commercial Vehicle Operating Registration (“CVOR”);(b) A valid Public Vehicle operating license permitting the pickup of passengers in all Service Zone(s) proposed; and,c) A valid Extra-provincial Operating License when providing Services to other provinces or the United States.Scope of WorkQueen’s University is qualifying service providers to participate in a VOR for Charter Passenger Coach Services, specifically “Deluxe Motor Coaches” (56 seats) and “Mid-Sized Coaches” (33 seats) intended to be available for use by all Queen’s departments and faculties. School bus requirements are intended to be met through a separate agreement.Services are requested to be available for the full calendar year. Most travel occurs during the school year from September to April annually. Estimated annual spend is $250,000. Peak months historically have been January, June and November. Note: services for Queen’s Athletics and Recreation are excluded from this RFP.Travel destinations primarily occur in southern/eastern Ontario, with some trips occasionally outside of province.It is expected that bookings and reservations will be made by various staff at the individual Department and Faculty level, with no centralized or dedicated travel staff.Additional requirements include but are limited to those listed in Appendix H.Term is for a period of 3 years.NOTE: Proposals will only be accepted by electronic upload to https://queensu.bonfirehub.ca/opportunities/99844​​​​​​​
