The goal of the Boardroom Update project is to transform the current Boardroom and Urbanism Lab into high functioning, reliable, and accessible broadcast boardrooms for the National Capital Commission Board and associated Committees and the Urbanism Lab that can adapt to the changing needs of the associated parties and in response to business continuity and environmental conditions.
The key objectives of this project, from an organizational perspective, include:
Modernize the current infrastructure to ensure the NCC has a reliable functioning broadcast boardroom for the NCC Board and associated Committees that meets the following standards:
98.9% Uptime Reliability
Full English – French participant and content management, distribution and broadcast
AODA Compliant Accessibility and Access
Ensure that meetings can seamlessly be held in person, virtually, or in some combination of these two forms.
Provide the NCC with a flexible Boardroom that can both adapt to the needs of its users, but also work in conjunction with other spaces at the NCC, such as the Urbanism Lab.
BASIS OF SELECTION: Meet mandatory requirements, pass rated requirements, and, best value score between technical (50%) and financial (50%)
To ensure the integrity of this RFP process, all enquiries and other communications regarding the RFP must be directed only to Shawn Jansen, Senior Contract Officer, at shawn.jansen@ncc-ccn.ca . Interested Proponents must not contact any other employee of the NCC, or other persons involved in this solicitation to discuss questions regarding the RFP. All enquiries must be submitted in writing by e-mail to the Contracting Authority no later than 7 calendar days before the RFP closing date and time in order to be considered by the NCC. Throughout the RFP bidding process, the NCC shall endeavour to provide responses to inquiries (by the issuance of addenda) deemed relevant by the NCC and received in writing by the Contracting Authority. Only information provided in addenda shall be an integral part of the RFP and any resulting contract. All addenda will be posted on buyandsell.gc.ca.
BID DEADLINE: May 10, 2021 at 3:00pm EDT (Addendum 4)
RETURN PROPOSALS TO: National Capital Commission by email at Bids-soumissions@ncc-ccn.ca. Note: The bid email has a maximum capacity of 30 megabytes. Proponent may divide the technical submission into several emails (ie. email 1A, 1B, 1C, etc.) to stay within the 30 megabytes limit per email.
