Introduction:
Aurora Academic Charter School (AACS) is soliciting proposals from qualified project management firms for the oversight and management of improvements to the Skyrattler School Site. The site will begin operations as a school for the 2025-2026 school year, with all renovations and improvements required to be completed by the beginning of June 2025.
Project Overview:
The Skyrattler School Site, located at 830 Saddleback Road, is a multi-use facility with a total of 29,802 square feet of space that includes a gymnasium, stage, cafeteria, kitchen, classrooms, locker rooms, and childcare areas (1a - Skyrattler School). The proposed improvements will prepare the site for its intended function as an operational K-12 school by the start of the 2025-2026 school year. Improvements will include adjustments to the existing floor plan (1b - Proposed AACS Floor Plan), and all construction must be finished by the required deadline to ensure timely occupancy.
Scope of Work:
The selected project management firm will be responsible for the following tasks:
1. Project Planning & Coordination:
Develop a detailed project plan, including timelines, milestones, and deliverables.
Coordinate with architects, engineers, contractors, and relevant stakeholders.
Ensure all permits and approvals are obtained.
2. Construction Oversight:
Oversee day-to-day construction activities.
Ensure adherence to design specifications, including floor plans(1b - Proposed AACS
Floor Plan).
Monitor compliance with safety and building codes.
3. Budget Management:
Manage project budgets and control costs in accordance with the Skyrattler School Site
Supplementary Budget for 2024-2025(1a - Skyrattler School).
Report regularly on financial progress and identify cost-saving opportunities.
4. Quality Assurance & Control:
Maintain high standards of construction quality.
Perform inspections and ensure all construction meets agreed-upon standards.
5. Completion & Handover:
Ensure all work is completed by the end of May 2025.
Conduct final inspections and handover the facility to AACS for occupancy by June 2025.
Proposal Submission Requirements:
Interested firms should submit a detailed proposal that includes the following:
1. Company Profile:
Overview of your firm’s experience in project management for educational or multi-use
facilities.
2. Project Approach:
Describe your approach to managing the project, including timelines, reporting
structures, and communication strategies.
3. Project Team:
Provide qualifications and resumes of the proposed project team members.
4. Previous Experience:
Include examples of similar projects completed, highlighting experience with school or
large-scale public sector projects.
5. Fee Proposal:
Submit a detailed fee structure for your services.
6. References:
Provide at least three references from past clients.
Evaluation Criteria:
Proposals will be evaluated on the following criteria:
Demonstrated experience and expertise with similar projects.
Project management methodology and approach.
Qualifications of the project team.
Fee structure and value for money.
References and past performance.

Project Start: October 15, 2024
Project Completion: June 1, 2025
Submission Instructions:
Proposals must be submitted by September 23, 2024, to Lisa Weidel, Facilities Manager, AACS. Proposals should be submitted in PDF format and must not exceed 30 pages.
