Town of Whitecourt - Request for Proposal - RFP# 2024-09-26: Allan & Jean Millar Centre Stereo System

The Town is committed to providing a safe and quality guest experience for all visitors to the Allan & Jean Millar Centre. An effective public address system and upbeat and motivating background music in all areas of the facility contribute to this experience. Since the facility opened 16 years ago, there have been many advancements in this field. We are seeking a modern, user friendly and effective system that will remain relevant for several years to come. The Town of Whitecourt has hired a System Design Consultant to perform a site inspection and provide a report identifying the key requirements of the audio system and provide recommendations for repair and replacement of the existing system. This report is attached. The system will need to include any associated software that will allow staff to manipulate which areas of the facility music and/or announcements will be broadcast and at what volume. All areas that are accessed by the public or staff members are to be included in the system, including washrooms, change rooms, lobby spaces, and administration work space. The total square footage of the involved areas is 63,988. A detailed site map is available upon request. Potential vendors are welcome to schedule a site visit to assist them in determining the best approach to this project. Demonstrations or referrals to similar previous projects are also welcome. Proposals must include costs and specifics for the following: • Repair and replacement of relevant components to provide a complete and functional stereo and overhead paging system for the Allan & Jean Millar Centre • Any associated software required to use the system to its fullest potential • Installation of any new components and connection to existing system • Warranty (minimum 3-5 years) • Extended warranty options • Staff Training included • Service Agreement (minimum 2 years)
