    Description
    The Consumer, Registry, and Strategic Services Division is responsible for document management services for the Motor Vehicles and Registries Administration Branch, Land Titles and Surveys Branch, and Business and Vital Event Registries Branch, which includes the Vital Statistics Registry, Corporate Registry and Personal Property Registry. These business areas ensure the integrity of Alberta’s registries, regulate industries, and enforce standards of conduct to safeguard equitable, efficient and effective functioning of the market. They are also responsible for a broad range of information, services and records related to the ownership of land and personal property, including motor vehicles, and the issuance of driver’s licences and identification cards, certificates for life events such as birth, marriage and death, and the articles incorporation of corporations and non-profit organizations. The Consumer, Registry, and Strategic Services Division is also responsible for governance of Alberta’s network of private registry agents, ensuring that products and services are readily available to Albertans. The Shared Services Division manages the Employee Records Access (“ERA”) application. ERA is a content management system that was first setup in 2006 to accommodate a large back-file digitization project. It houses employee personnel files for all Government of Alberta (GoA) employees. It is accessible by authorized GoA employees, specifically personnel within the areas of Human Resources, Pay and Benefits and Finance, and internal GoA auditors or the Auditor General of Alberta. Access is gained through the internet with a secure connection using a web browser. This allows for easy and efficient access to employee personnel files. Several initiatives are underway to modernize service delivery, including an expansion of current applications for services provided by Land Titles and implementation of a common eService portal to enable online registry services for Albertans. These and other initiatives may impact the Services during the Term. The following document management and support services are required and are outlined in the RFP: Document reception services (Edmonton and Calgary); Digital imaging services; Vital Statistics Registry support services, including certificate production, death and stillbirth event screening, completion of service requests from queues, and technical support services; Corporate Registry support services, including searches, returned mail inserts and processing, and corporate fiche conversion as required; Land Titles Registry support services, including registration support and technical support; Hosting and maintaining digitization application; Revenue handling services; Call box management services; and Document imaging and application support services for the Employee Records Administration (ERA) application.

    Contract duration

    The estimated contract period will be 36 month(s), with a proposed start date of 2023/07/01.
