Notice of Intent to Award an Agreement
Notice is hereby given that the City of Abbotsford (the “City”) is contemplating making a direct award of a contract to Zeemac Vehicle Lease Ltd. for the following:
To retain the 11 existing lease vehicles for 2024 in order to supplement the City’s fleet.
The contract will be for one (1) year as the City reviews its fleet requirements through 2024.
Background
The City owns a portfolio of 300 + fleet vehicles for staff to provide services throughout the City. At times there is a requirement to supplement the existing fleet with additional vehicles to support seasonal activities and fluctuations in staffing levels.
Rationale for Contemplating Direct Award
It is the intent of the City of Abbotsford to extend the lease agreements on the existing vehicles that are under lease for one (1) year.
The City of Abbotsford has determined this for the following reasons:
Agreement Value:
The maximum value of the agreement for the initial Term and all Optional years being awarded is expected to be $170,000 plus applicable taxes.
Submission of Objection Notice
Any Respondents that still wish to object to this decision they should email their objection to the attention of Timothy McBride, Manager, Procurement at https://abbotsford.bidsandtenders.ca by January 10, 2024 no later than 2:00 p.m. local time.

Rationale for Contemplating Direct Award
It is the intent of the City of Abbotsford to extend the lease agreements on the existing vehicles that are under lease for one (1) year.
The City of Abbotsford has determined this for the following reasons:
- Due to supply chain disruptions in the automotive industry it is more cost effective to extend the current lease terms for one (1) year as new vehicles have not arrived due to production delays.
- Zeemac Vehicle Lease Ltd. was awarded the supply of lease vehicles through a competitive process for seasonal vehicles as the lowest priced provider initially.
- The additional cost to decommission and re-commission new vehicles would not be cost effective for the City as compared to extending the current agreements.

The maximum value of the agreement for the initial Term and all Optional years being awarded is expected to be $170,000 plus applicable taxes.
