    BCNET is providing  early notice on the following forthcoming scheduled project.
     
    Project title: Request For Proposal (“RFP”) for End User Computing Devices
     
    Estimated Date of Posting: Week of May 27th, 2024

    BCNET, a not-for-profit shared services organization representing the interests of the public Post Secondary sector, colleges, universities, and research institutes, in British Columbia.  We continuously engage with members to develop solutions that meet their unique needs.     Objective:
    BCNET is issuing this RFP on behalf of its members to secure End User Computing Devices (the “Devices”). The RFP aims to:
     
    • Ensure members receive the best value through transparent pricing for Devices and associated Optional Services;
    • Provide outstanding and consistent customer service, understanding each member’s unique requirements;
    • Offer flexible, member-centric solutions to enhance administrative, research, and academic activities;
    • Support members with optional services throughout the Master Agreement term;
    • Incorporate sustainability and environmental considerations, aligning with members’ ESG efforts.

    Key Details:
    1. RFP Contact and Intent to Bid:
    • The RFP Contact is the BCNET Procurement Services Team. All communication regarding this RFP must be through Messages in the Bonfire portal.
    • Proponents must submit their Intent to Bid decision via Bonfire before preparing and submitting a proposal. This decision can be changed until the Intent to Bid Due date, which aligns with the Submission Deadline.
    1. Nature of RFP Process:
    • This is a negotiated RFP, not a legally binding tender, and does not create a formal bidding contract.
    1. Type of Contract for Deliverables:
    • BCNET aims to enter into one or multi-Supplier Master Agreements for the procurement of Deliverables;, allowing members to access the agreements  with the awarded proponents.
    1. Term of Agreement:
    • The initial term is five (5) years, with an option to extend for one (1) additional five-year term and up to six (6) additional months on a month-to-month basis.

    Description of Deliverables:
    The selected proponent(s) will provide various End User Computing Devices and related products, delivering optional services that meet or exceed minimum requirements. Proponents must offer the latest models, ensure energy efficiency, and provide ongoing driver and security updates. Devices must be new, not refurbished, and enterprise business grade with consistent high-quality parts.

    Requirements:
    Proponents must:
    • Be the Original Equipment Manufacturer or an authorized VAR for manufacturers.
    • Have experience supporting public post-secondary institutions of various sizes and complexity in British Columbia;
    • Offer devices and peripherals manufactured in accordance with documented OEM specifications and provide consistent high-quality performance.
    • Provide devices, peripherals, and services to all members, with minimum discounts off published Canadian price lists;
    • Be ISO 9001 (2015) certified for manufacturing facilities;
    • Be able to provide high quality customer service and optional Services to geographically dispersed members as requested.

    Please Note:
    This notice does not:
    • Commit BCNET to issue any procurement invitations;
    • Restrict BCNET to any particular procurement approach for any project listed;
    • Provide a complete list of upcoming BCNET procurement opportunities;
    • Constitute a call for tenders or proposals;
    • Create any contractual or other legal obligations owed to any potential supplier by BCNET.
