Description
School District No. 62 (Sooke) (SD62 or the District) invites proposals from qualified consulting firms to assist the Finance Department in developing a Finance Department Modernization Roadmap focused on improving operational efficiency, reporting, automation, collaboration, information management, governance, and decision-making through the effective use of Microsoft 365 technologies and related digital services.
The District is seeking an experienced consultant to conduct a current-state assessment of Finance Department operations, business processes, information management practices, reporting capabilities, and Microsoft 365 environment and to develop a practical, prioritized roadmap identifying modernization opportunities across the Department. The roadmap will serve as a strategic planning tool to support future investment and implementation decisions.
The engagement will focus on opportunities to improve business processes and administrative operations through the use of Microsoft 365, SharePoint Online, Microsoft Teams, Power Platform technologies (including Power BI, Power Automate, and Power Apps), Microsoft Copilot, artificial intelligence, workflow automation, information governance, and data-driven decision-making. The assessment must also consider governance, privacy, records management, information security, organizational readiness, internal controls, and future ERP considerations.
The successful Proponent will be required to produce a comprehensive modernization roadmap that identifies and prioritizes recommended initiatives, implementation sequencing, dependencies, organizational readiness considerations, anticipated benefits, estimated implementation timelines, rough-order-of-magnitude implementation costs, and associated resource requirements.
The District intends to award a contract consisting of:A mandatory fixed-price Finance Department Modernization Assessment and Roadmap; and Optional future implementation services that may be authorized by the District through individual Statements of Work during the term of the agreement. Future implementation services are entirely at the discretion of the District and are not guaranteed. The District reserves the right to implement recommendations using internal resources, engage alternative consultants, conduct additional competitive procurement processes, or elect not to proceed with any recommended initiative. No exclusivity is granted under the resulting agreement.
