    Vancouver Island Conference Centre (VICC) Venue Management

    The purpose of this Request for Proposal is to secure Proposals from qualified Suppliers to provide management and operation services to the Vancouver Island Conference Centre located at 101 Gordon Street, Nanaimo, B.C. for a potential 5 years (commencing January 1, 2023) plus a potential 5-year extension contract for services, consistent with the following objectives:

    (a) First and foremost to attract and host multi-day convention and conference events that will bring out of town delegates and attendees to the City of Nanaimo, thereby driving business activity and economic impacts within the city for hotels, restaurants, entertainment and retail.

    (b) To collaborate with Tourism Nanaimo, as the community’s non-profit Destination Marketing Organization (DMO) and the Nanaimo Hospitality Association in promoting Nanaimo as a Business and Meetings Tourism destination, including incorporation of the VICC Booking Guidelines (as outlined in the Business & Meetings and Sport Tourism MOU, April 2022).

    (c) As a secondary priority, to attract single-day meetings and events, consumer and tradeshows and other events which are primarily geared to attendees from the local area, which may or may not require overnight accommodation at prescribed rates and within established booking policies.

    (d) As a third priority, to serve the public interest through potential community rental use of the VICC during periods when it is not booked for multi-day and single day meetings and events in non-peak times (ie. Shaw Auditorium booked by local groups for theatre/concerts during evenings in the summer), at prescribed rental rates.

    (e) To promote, manage, operate and maintain the VICC with high quality service and in a fiscally responsible manner, including, without limitation, the supervision of routine maintenance of the Conference Centre.
