Description
The purpose of this Request for Expressions of Interests (“REOI”) is to solicit interested providers in providing contractual services for exclusive rights to vending machine services across our high-traffic civic recreation facility. Our recreation facility hosts frequent community events, including the All Native Basketball Tournament in February of each year, which sees thousands of people over the course of the week-long event. In addition, the Complex hosts regular hockey and basketball tournaments and games, as well as regular programming, swim meets, craft fairs, weddings and a host of other community events.
The services rendered in the Project will comprise the following;
The services rendered in the Project will comprise the following;
- Installation, operation and maintenance of vending machines located on the Recreation Complex premises of the City located at 1000 McBride Street, Prince Rupert, BC;
- The City is seeking an operator to provide 3 beverage machines and 3 snack machines – with a focus on healthy snack provision where possible, and no provision of energy drinks permitted in the facility;
- Operator shall regularly inspect, service, clean and maintain the described vending machines and shall keep them in good working order;
- The City will notify the Operator promptly, via email and phone, of any failure of the vending machines to function properly;
- The City will furnish and bear the costs of all utilities necessary to operate the vending machines installed under the successful Operator’s contract;
- Ensuring that all automated vending machines are regularly stocked and maintained;
- Machine malfunctions requiring refunds by City staff will be recorded and compensated by the Operator;
- Operator will pay the City for the right to sell pre-packaged food and beverages on the described premises, at a percentage of Gross Sales proposed by the Operator and agreed upon by the City through contract negotiations.
- Operator will provide the City a monthly sales report, and timely issuing of commission revenues according to the service contract and schedule;
- The City of Prince Rupert will be indemnified by the Operator for any liability attributed to machines, the contents of the machines, and to be named as co-insured on the Operator’s liability insurance, at a minimum of $2 million liability insurance coverage;
