    Description

    Global Affairs Canada (GAC) via its Summit Management Office (SMO) requires the support of a proven event technology Contractor to supply and operate on a short-term, rental basis, of audiovisual equipment in various locations as outlined in Appendix A – Statement of Work.

    Additionally, it will be the Contractor's responsibility to ensure that all the necessary qualified technical personnel are on-site to meet the installation schedule that will commence on May 26th, 2025, and conclude at the close of the final meetings scheduled for June 17th, 2025. An installation and event schedule shall be supplied to the Contractor following the award of the contract.

    Closing Date: To be considered, your proposal must be received no later than 2 p.m. EDT on March 14, 2025 with a reference to tender file #7464626.

    Mandatory Site Visit
    A MANDATORY site visit will be held on week of February 24, 2025.
     All costs incurred by the Bidder to attend the site visit will be at their expense. GAC will not reimburse any Bidder for expenses related to the site visit.

    To ensure the integrity of this Request for Proposal (RFP) process, all enquiries and other communications regarding the RFP must be directed only to contratsbgs@international.gc.ca. Non-compliance with this requirement during the solicitation period may, for that reason alone, result in disqualification of a proponent. All enquiries must be submitted in writing by e-mail no later than 7 calendar days before the RFP closing date and time in order to be considered by GAC. Throughout the RFP bidding process, GAC shall endeavour to provide responses to inquiries (by the issuance of addenda) deemed relevant by GAC and received in writing by the Contracting Authority. Only information provided in addenda shall be an integral part of the RFP and any resulting contract. All addenda will be posted on Tender opportunities | CanadaBuys.

    RETURN PROPOSALS TO: Global Affairs Canada by email at micheline.al-koutsi@international.gc.ca. Note: The bid email has a maximum capacity of 30 megabytes. Proponent may divide the technical submission into several emails (ie. email 1A, 1B, 1C, etc.) to stay within the 30 megabytes limit per email.
    Faxed and hard copy (submitted in person or via mail/courier) bids will not be accepted for the subject bid solicitation.
    There is no public opening scheduled.

    BASIS OF SELECTION:
    Canada will make its selection based on the compliant offer with the highest combined rating of technical merit and price for award. The ratio will be 70% for the technical merit and 30% for the price.
