Description of Work:
The scope of the work includes mapping current information holdings as well as supporting the Secretariat in:
- Meeting its existing obligations under the Indian Residential Schools Adjudication Secretariat (IRSAS), i.e. protecting claimant’s information as well as meeting IM legislation, policy and procedure;
- Documenting an inventory of information holdings, including ownership, location, type, classification, status and age;
- Providing advice in IM solution to manage the full life cycle of electronic documents, including electronic mail, correspondence, reports, manuals, images, word processing and spreadsheet documents;
- Recommending a strategy to meet IM Challenges; and
- Ensure recommendations will take in consideration the effect on hearings targets and future ‘wind down of operations’ requirements
Task
The Contractor shall carry out any combination of the following work to the satisfaction of the IRSAS representative. All work is to be done in conformity with the instructions issued by the IRSAS Representative. Tasks include but are not limited to:
- Evaluate the existing Secretariat’s IM/ IT architecture, determine its consistency and integration with the organization's business/operational strategies;
- Assess the degree of the Secretariat’s alignment with current information management practices and assess these practices in light of potential Court directives, applicable legislation, and departmental policy. Recommend changes to improve its alignment with these factors;
- Identify current and future business requirements against the current IM/ IT architecture, perform gaps analyses, develop requirements and prepare migration strategies;
- Identify business and technology trends currently supported at INAC that create opportunities for business improvement, advise business and Senior Executives on IM/ IT trends and emerging technologies and the impact on the organization.
- Recommend IM options, either for an organization or for an individual unit, to meet the business requirements;
- Analyze functional requirements to identify information, procedures and decision flows;
- Evaluate existing procedures and methods, identify and document electronic content, structure, and application sub-systems, and provide advice on appropriate solutions;
- Help users identify and categorize records of business value across the Secretariat;
- Recommend retention schedule/ information life cycle;
- Coach, mentor and train the organization to perform any of the above; and
- Provide related briefings and status reports to management; and
- Writing briefing notes to Senior Management.
The work is currently being performed by Coradix under contract (value $206,718.75)
